From Tenant Payment to Your Account

Rent is collected through a secure Tenant Portal with automatic payment capabilities. Tenants have 24/7 access to their portal to submit payments, view their ledger, and receive notices. Here is the full cycle from collection to your disbursement:

Tenants pay online through the secure Tenant Portal — available 24/7 on any device. Automatic payment options are available to reduce late payments before they start.

Payment Clears & Is Logged

All payments are automatically logged against the tenant's ledger and matched to the lease. Every transaction is documented with a full audit trail accessible through your Owner Portal.

Management Fees & Expenses Applied

Management fees, any approved maintenance expenses, and other authorized charges are deducted from collected rent in accordance with your Property Management Agreement.

Electronic Disbursement to You

Your net proceeds are disbursed electronically each month. You receive a detailed monthly owner statement covering every line item — income, expenses, and balance — so there are no surprises.

What Happens When Rent Is Late

We stay proactively in contact with tenants throughout the month to prevent late payments before they occur. When rent is not received on time, we follow a structured escalation process to protect your income:

Late Fee Assessment

Late fees are assessed per the terms of the executed lease. These are documented and applied to the tenant's ledger immediately upon the grace period expiring.

NSF & Returned Payments

Returned or NSF (Non-Sufficient Funds) payments are addressed immediately. The tenant is notified and a returned payment fee is assessed per the lease terms.

Proactive Communication

Our team contacts the tenant directly to understand the situation, make arrangements where appropriate, and document every interaction — building the record that protects you if legal action becomes necessary.

Escalation to Eviction

If a tenant cannot be brought current within the terms of the lease, we recommend initiating the eviction process under Texas law. Nonpayment of rent is the most common — and most straightforward — ground for eviction in Texas JP courts.

Violations Are Handled Before They Cost You

The most common HOA or city code violations — overgrown lawn, visible trash cans, unsightly material at the curb — are addressed immediately when reported. We issue written notice to the tenant and require photographic proof of cure within 48 hours. An administrative fee is assessed to the tenant for each violation.

This documented approach has proven highly effective at ensuring tenants understand HOA and city expectations and do not repeat the same offense.
