Documentation is your best protection as a landlord. Our inspection process creates a clear, photo-supported record of your property's condition at every critical point in the tenancy — so you always have the evidence you need if a dispute arises.

Move-In Inspection

Conducted just before the tenant takes possession by a third-party insured vendor. The full report is shared with the tenant and stored in your Owner Portal.

Periodic Walkthrough

Scheduled 2–3 months before lease expiration. Evaluates property condition, documents any issues, and informs the lease renewal decision.

Move-Out Inspection

Full photo-documented inspection at the end of tenancy, compared against the original move-in report to determine any tenant-caused damage for deposit accounting.

Starting with a Clean, Documented Baseline

Before a tenant takes possession, an insured third-party vendor conducts a thorough move-in inspection at our expense — covered by the one-time admin fee paid by the new tenant with their security deposit. This creates the baseline record that protects you at move-out.

Third-Party Move-In Report

A licensed, insured vendor documents the condition of every room, fixture, appliance, and system — with photos — before the tenant receives keys.

Report Shared with Tenant

The completed report is provided to the tenant, who has 7 days to submit photos or descriptions of any additional items they want documented for their move-out protection.

Stored in Owner Portal

The full move-in report — including all photos and tenant-noted items — is stored in your Owner Portal and retained for the duration of the tenancy.

Occupied Walkthroughs Before Renewal

Approximately 2–3 months before the lease expires, we schedule a walkthrough of the occupied property with the tenant. This inspection serves two purposes: evaluating the property's current condition to inform the renewal decision, and catching any maintenance needs before they become larger problems.

The completed report is shared with both you and the tenant. The cost of the occupied walkthrough is included in the lease renewal fee — there is no separate inspection charge.

Unscheduled Drive-Bys: In addition to scheduled walkthroughs, our team may drive by to assess visible exterior conditions — roofs after hail storms, street numbers, mailbox condition, fence or yard issues — as time and weather permit. These visits are included in the monthly management fee.

Protecting Your Deposit Claim with Documentation

When a tenant vacates, we conduct a complete, photo-documented move-out inspection and compare it directly against the original move-in report. Texas law allows landlords 30 days after the tenant vacates to account for the security deposit — we manage this entire process.

Move-Out Inspection Conducted

A full inspection is performed, documenting the condition of the property with photos room by room, compared against the move-in baseline.

Tenant-Caused Damage Identified

We separate normal wear and tear — which Texas law prohibits charging to tenants — from tenant-caused damage, which can be billed from the security deposit with documentation.

Repairs Coordinated & Invoiced

Vendors are dispatched to complete necessary repairs. All invoices and receipts are collected and used for the security deposit accounting.

Security Deposit Accounting Sent Within 30 Days

Within the Texas-required 30-day window, the past tenant receives a complete written accounting of all charges — with copies of every vendor receipt — and the remaining balance (if any) is refunded.
